<@jflory7:fedora.im>
15:02:53
1. (Maybe just Announcements, Jona is working on a formal recap) Fedora Mentor Summit: retrospective

!topic Announcements, News, & Updates
<@jflory7:fedora.im>
15:04:53
!info Flock 2026 happened a few weeks ago! The DEI Team was involved via the Fedora Mentor Summit. We had a chance to reconnect in-person, or in some cases, meet face-to-face for the first time. We missed those who couldn't come along in-person!
<@jflory7:fedora.im>
15:05:02
Actually, it looks like all five of us present today _were_ at Flock though.
<@jflory7:fedora.im>
15:05:11
I hope everyone had easy journeys home, wherever that might be π
<@lochipi:matrix.org>
15:05:41
Yes yes. I enjoyed the tripπ€©
<@jflory7:fedora.im>
15:05:41
I had some early announcements and data points to share on the Fedora Mentor Summit, but I don't think there is much to _discuss_ yet. We can postpone a retrospective/discussion for another week, when Jona Azizaj (she/her) has some time to prep.
<@jflory7:fedora.im>
15:05:58
In the mean time, here comes a first peek at some early Flock 2026 post-event survey data, specifically to the Mentor Summit!
<@jflory7:fedora.im>
15:06:32
!info 39 of 117 survey respondents participated in Mentor Summit activities (33%). It was rated 3.2/5 as a session type β the lowest of all session types, but the qualitative/written feedback tells a more nuanced story.
<@jflory7:fedora.im>
15:06:55
!info The Flock mentor lunch activity was praised by name by multiple respondents. One called it "a really really good idea and perfectly staged, specifically the short one-page directions and the openness towards all Fedorians." The topic-based format (chosen via Fedora Discussion poll instead of fixed mentor assignments) was well-received.
<@jflory7:fedora.im>
15:07:18
!info The main problem was noise. Two respondents independently said the lunch mentoring session was undermined by the surrounding sound level, with one recommending "a separate room would be a better choice for mentoring session." This matches the broader survey finding that hallway noise (measured at 80 dB+ by some attendees) was the top criticism overall.
<@jflory7:fedora.im>
15:07:46
!info One Flock survey respondent suggested a "speed connector" event β 5 minutes at a table, then rotate β to help people who don't normally get face time with key community members. This could complement the mentor lunch format.
<@jflory7:fedora.im>
15:08:00
!info 13 Flock survey respondents volunteered for the Mentor Summit Core Team in 2027.
<@misc:ephaone.org>
15:08:14
"measured at 80 dB+ by some attendees", i wonder who else could have installed specifically a application on his phone :p
<@jflory7:fedora.im>
15:08:16
!info The Contributor Recognition Program was not specifically mentioned in free-text feedback, though the Flock 2026 pst-event survey didn't ask about it directly.
<@theprogram:fedora.im>
15:08:25
interesting, I had no probems with this at all
<@jflory7:fedora.im>
15:08:51
misc: What I can say is, I got specific measurements from at least two or maybe three people, so hard to isolate out for sure here π But now I might have one guess!
<@misc:ephaone.org>
15:08:58
(specifically this one: https://noise-planet.org/noisecapture.html )
<@jflory7:fedora.im>
15:09:16
MatH: I only got to participate in one of the mentor lunches, but it wasn't so bad for me. But I think the last day was a little more quiet at lunch than the other days too
<@misc:ephaone.org>
15:09:26
I hope I didn't filled the survey twice :/
<@jflory7:fedora.im>
15:09:31
Anyways, this is all of the feedback I have for now!
<@jflory7:fedora.im>
15:09:44

I would say it raises a diversity issue which is not the same for all peoples
<@jflory7:fedora.im>
15:10:00
Anyone else have news or announcements to share? Or reactions to the survey results shared?
<@jflory7:fedora.im>
15:10:08
Hey Jocelyn Gould (UTC-4), welcome! Nice to see you here π
<@jonatoni:fedora.im>
15:11:56
Is there more data we will get from the survey?
<@jonatoni:fedora.im>
15:12:17
I want to share them with the Mentor Summit team as well
<@jflory7:fedora.im>
15:13:28
Hmm, I need to go through the raw results again, but this was the stuff I could pull out quickly
<@jflory7:fedora.im>
15:13:57
We will definitely be sharing more when we can do thoughtful review, and maybe if I can pull some of Michael Winters's time for anything interesting. Although I think he is more the data engineer than the data analyst, but maybe he has some ideas still π
<@jflory7:fedora.im>
15:14:21
The Flock planning team will have our retrospective Soonβ’, and I think we will be ready to share more once we have a chance to review and talk through the data
<@jflory7:fedora.im>
15:14:28
Feel free to share the above in the meantime
<@jflory7:fedora.im>
15:14:36

Jona Azizaj (she/her): This one is yours, I suppose!
<@jonatoni:fedora.im>
15:26:56
I would say October
<@jflory7:fedora.im>
15:27:01
Jona Azizaj (she/her): Want to lead us off in discussion?
<@theprogram:fedora.im>
15:27:14
I watched some previous WoD talks on YT, and Alexandra (bookwar) had some nice talks, so I have asked if she would do another, and she proposed a talk on 'why it is good to argue with people on the internet'
<@jflory7:fedora.im>
15:27:15
Remember the F45 Release on 2026-10-20
<@jonatoni:fedora.im>
15:27:54
I haven't had the chance to work on this one since the main focus was on Mentor Summit
<@jflory7:fedora.im>
15:27:58
It is risky but I can see how she might angle this. With the right community and collaborative mindset, it has its perks π
<@jonatoni:fedora.im>
15:28:11
Maybe we can discuss on ideas on what we can do
<@jonatoni:fedora.im>
15:28:22
And who wants to help
<@jflory7:fedora.im>
15:28:26
I figured! To be expected! I guess what I was looking for was, what should we start thinking about? What help do you need? How can we make this easy for you and all of us?
<@jflory7:fedora.im>
15:28:35
Exactly
<@lochipi:matrix.org>
15:29:11
September sounds reasonable good time but that's sooner to put things together? October for me too

<@jflory7:fedora.im>
15:30:04
Just, you know, `s/GitLab/Forgejo/`
<@theprogram:fedora.im>
15:30:09
October is good, gives us a full three months
<@jflory7:fedora.im>
15:30:41
If we are _smart_ about it, we can try and time it near the release. But the release period can be a very busy time for some core contributor folks. Engagement might be down. Something to think about.
<@jonatoni:fedora.im>

jonatoni gave a cookie to lochipi. They now have 25 cookies, 2 of which were obtained in the Fedora 44 release cycle
<@jflory7:fedora.im>
15:30:55
I think a month before or immediately after a release is good
<@jflory7:fedora.im>
15:31:15
Cornelius Emase++ Was this you? I didn't know. Nice work! We need to put your name in for author credits up top π
<@jonatoni:fedora.im>
15:31:16
https://docs.fedoraproject.org/en-US/dei/events/past-events/ helps to create an idea on what we have done previously
<@korora:fedora.im>
15:31:16
What about targeting the end of Sept/beginning of Oct?
<@zodbot:fedora.im>
15:31:17
jflory7 gave a cookie to lochipi. They now have 26 cookies, 3 of which were obtained in the Fedora 44 release cycle
<@theprogram:fedora.im>
15:31:22
One idea: Should we have a theme, and or invite people from certain groups? Should we do some outreach and bring in any non Fedora people?
<@jflory7:fedora.im>
15:31:56
MatH: I think an organizing theme helps to guide the planning and messaging
<@jflory7:fedora.im>
15:32:39
We could potentially bring in external folks. But I think one of the "design goals" of the event is to celebrate and lift up diversity _within_ our community, and share that both inside and outside of our core circles
<@theprogram:fedora.im>
15:32:44
Cool, I can get behind the idea of a theme
<@jflory7:fedora.im>
15:33:01
I think it is more meaningful to target engaging with existing contributors, but if there was a good case for trying something different, I would hear it out
<@jflory7:fedora.im>
15:33:28
Release Parties feel like the best venue for bringing in non-Fedora people for content or engagement
<@jonatoni:fedora.im>
15:33:38
Do we want to do a virtual event, interview videos, one day event etc?
<@theprogram:fedora.im>
15:33:57
I guess I was raising the possibility of having say some people we respect do a bit for us, or tank some of our contributors, something like that
<@jflory7:fedora.im>
15:34:01
I like the idea of a one-day event on Matrix. But it doesn't need to be a full day or even half a day. Could be 2-3 hours.
<@jflory7:fedora.im>
15:34:41
People whom we respect could be interesting. Like a keynote address. I would be open to ideas on that. I didn't get what you meant about tanking contributors though.
<@jflory7:fedora.im>
15:34:46
Err, thank maybe?
<@theprogram:fedora.im>
15:34:47
I like the idea of a virtual event, with some artifacts such as videos or stories on the permanent register
<@jflory7:fedora.im>
15:34:51
I processed that after I wrote that
<@theprogram:fedora.im>
15:35:06
*thank
<@jflory7:fedora.im>
15:35:23
This has been our usual recipe. A virtual event with content we produce for the event, but it has evergreen value
<@jflory7:fedora.im>
15:35:30
!link https://youtube.com/playlist?list=PL0x39xti0_67oLN5oUN8lYj0a29xWCQLZ&si=Cvnc_kAkOowiDuBk
<@jonatoni:fedora.im>
15:35:35
Do we want to have talks, hands-on sessions or a mix?
<@jflory7:fedora.im>
15:35:39
Oh, dead name π
<@jflory7:fedora.im>
15:36:04
Hands-on virtually is hard. I am not sure what that would look like without someone who is very skilled at delivering engaging virtual content
<@theprogram:fedora.im>
15:36:22
hands on session could be great if the presenters and community come together on a topic
<@jflory7:fedora.im>
15:36:23
I think short talks and presentations is the best format. That 10m-20m window seems to be ideal for engagement
<@theprogram:fedora.im>
15:36:47
Hands on, I do see the difficulties with
<@theprogram:fedora.im>
15:37:07
Sharpening our talks is what I would like to see
<@jflory7:fedora.im>
15:37:21
Maybe I am boring and not creative, but I have a hard time seeing what the _practical_ way of engagement would be here. Normally people use stuff like Miro boards for this, but I honestly cannot see that going well for an audience of our size and different organizations
<@jonatoni:fedora.im>
15:38:11
On our last FWD we did have CFPs for the event, but we didn't get many applications
<@theprogram:fedora.im>
15:38:21
there are all kinds of online education and workshop sessions, but the quality comes down to the audiences willingness to engage, whicH I for one could not predict
<@jflory7:fedora.im>
15:38:35
But if I am reading the chatter right, I think we are aligned on an event and producing some virtual content as the ideal format for the event. The details to decide are in the execution and planning of that virtual content.
<@jflory7:fedora.im>
15:38:50
I wonder if we could budget a special, limited-edition swag item to mail out to attendees of the event
<@jflory7:fedora.im>
15:38:56
A small "perk" for being there and attending
<@jflory7:fedora.im>
15:39:08
Not sure though. It would involve logistics. That worries me more than the budget part π
<@theprogram:fedora.im>
15:39:57
good idea, but lets stick to the core we can do, and have contributor recognition under the Mindshare topic for everyone

(Don't ask me about the time I had to mail Fedora keycaps for mechanical keyboards for an international giveaway. It was _so_ much fun π
)
<@jonatoni:fedora.im>
15:40:09
Any suggestions on the event theme?
<@jflory7:fedora.im>
15:40:19
Fair
<@x3mboy:fedora.im>
15:40:37
!hi

x3mboy: Eduard Lucena (x3mboy) - he / him / his
<@jonatoni:fedora.im>
15:41:02
This would bring more work for the team tbh - which I would skip for now
<@theprogram:fedora.im>
15:41:17
In general, I would like to see memmers of our community that have not recieved as much recognition as they should be highlighted, and to look also at the future direction of diversity as we stay relevant
<@jflory7:fedora.im>
15:41:24
"Respect the Culture" π A play on our unique online working culture, but also a chance to bring out the people who contribute in the community, and tell a different story of why our culture and values matter
<@jflory7:fedora.im>
15:41:43
Hey x3mboy! π
<@jflory7:fedora.im>
15:42:02
Skip the swag, forget that I said the idea which would invent a lot of new work for me ππ
<@lochipi:matrix.org>
15:42:19
I like this
<@jflory7:fedora.im>
15:42:43
I like "Respect the Culture" because it also touches on the future. To stay relevant, our culture cannot stay static and remain the same. It has to evolve. But evolution doesn't mean throwing everything old away and starting over.
<@jonatoni:fedora.im>
15:42:59
[@jflory7:fedora.im](https://matrix.to/#/@jflory7:fedora.im) can we save the ideas so we don't forget them π
<@jflory7:fedora.im>
15:43:11
I mean, we are not anarchists. At least, I can say that for some of us here perhaps π€£
<@jflory7:fedora.im>
15:43:18
Yep.
<@korora:fedora.im>
15:43:24
I like it. And it points out that our community isn't 100% in person, nor is it 100% online, which allows for _everyone_ to particiapte
<@theprogram:fedora.im>
15:43:46
I am in greement, however the slogan may come across differently to various people
<@theprogram:fedora.im>
15:43:54
I am in agreement, however the slogan may come across differently to various people
<@jflory7:fedora.im>
15:44:12
!agreed Aligned on producing a short, 2-3 hour virtual event with scheduled programming and content. Need more discussion on the content structure and topics for speakers.
<@jflory7:fedora.im>
15:44:37
!halp Need to brainstorm an event theme to help bind the event together and give it a cohesive focus for 2026, both for the organzing team but also for attendees too.
<@theprogram:fedora.im>
15:44:54
Lets open a ticket and discussion post on the theme, and throw some more ideas in the mix
<@jflory7:fedora.im>
15:45:25
!idea One idea for an event theme. "Respect the Culture" Sassy, but it is a play on our unique online working culture, but also a chance to bring out the people who contribute in the community, and tell a different story of why our culture and values matter. It touches on the past, present, and future. To stay relevant, our culture cannot stay static and remain the same. It has to evolve. But evolution doesn't mean throwing everything old away and starting over either.
<@jflory7:fedora.im>
15:45:37
Oh, one logistics question
<@jflory7:fedora.im>
15:45:48
Jona Azizaj (she/her): There is a separate issue tracker for FWD, or should we use the DEI Tickets repo?
<@jflory7:fedora.im>
15:45:57
Either is fine with me, and I might prefer the DEI Tickets repo TBH
<@jonatoni:fedora.im>
15:46:04
There is one
<@jflory7:fedora.im>
15:46:09
But up to you, I would say, as our chief facilitator
<@theprogram:fedora.im>
15:46:14
I would prefer all in one repo
<@theprogram:fedora.im>
15:46:36
Though either is okay
<@jonatoni:fedora.im>
15:46:39
We use a separate one for events like the FWD and Mentor Summit
<@jonatoni:fedora.im>
15:46:57
But all is tracked in our DEI main ticket repo
<@jflory7:fedora.im>
15:47:10
OK then, here is what I pitchβ
<@jflory7:fedora.im>
15:47:19
As a team, in the current ticket, let's figure out a theme and general format
<@jflory7:fedora.im>
15:47:36
Once we align on that, let's shift over to the repo-specific issue tracker to start breaking things out and inviting volunteers to head that way
<@jflory7:fedora.im>
15:47:46
This way, we can get some team-wide visibility on the big idea and vision
<@jonatoni:fedora.im>
15:47:48
https://forge.fedoraproject.org/dei/fedora-week-of-diversity (no issues yet)
<@jflory7:fedora.im>
15:48:02
This feels what is most important for us to discuss and align on first as a team, and then we get into the details on execution
<@jflory7:fedora.im>
15:48:03
WDYT?
<@jflory7:fedora.im>
15:48:18
Also, any of our newer folks here at all interested in helping out with virtual event production this year?
<@theprogram:fedora.im>
15:48:23
Sure that is good idea
<@jonatoni:fedora.im>
15:48:26
https://forge.fedoraproject.org/dei/tickets/issues/63 yep here
<@jflory7:fedora.im>
15:48:30
This is one of our highlight team activities of the year, and it is a great thing to get involved with.
<@theprogram:fedora.im>
15:48:54
Can you unpack what kind of roles this entails?
<@jflory7:fedora.im>
15:49:02
MatH, Jona Azizaj (she/her): Sounds like I have an `!agreed` as far as logistics for getting this onto the starting gates.
<@jflory7:fedora.im>
15:49:16
Jona Azizaj (she/her): Could you answer that one for MatH while I type a Meetbot note?
<@jonatoni:fedora.im>
15:50:13
Speakers management, event logistics (setting up Matrix etc), content and design
<@jonatoni:fedora.im>
15:50:21
These are the 4 main roles
<@theprogram:fedora.im>
15:50:52
What would be included in Design?
<@jflory7:fedora.im>
15:51:09
!agreed For our internal process, we will first use dei/tickets#63 to align on the Fedora Week of Diversity big ideas and vision for this year's event. Presently, this means the general format of the event and an event theme to ground all organizing and messaging for this year's event. Once we approve the high-level vision, all work will begin getting planned and organized in dei/fedora-week-of-diversity repo.
<@jflory7:fedora.im>
15:52:18
!halp We need help for volunteers in various roles! This includes work areas like speaker and schedule management, event logistics (e.g., Matrix and livestream setup), content/marketing for outreach, and design tasks to create a cohesive visual theme around the event messaging (e.g., blog images, banners, social media posts, etc.).
<@jonatoni:fedora.im>
15:53:01
Design can include banners for the event, social media posts, badge design etc
<@jonatoni:fedora.im>
15:53:01
https://forge.fedoraproject.org/dei/fedora-week-of-diversity/issues if you see the old issues you can create an idea on what we have done previously
<@jonatoni:fedora.im>
15:53:01
<@jflory7:fedora.im>
15:55:11
I think we have some initial inertia in place for FWD, at least.
<@jflory7:fedora.im>
15:55:15
Anything else we want to cover?
<@jflory7:fedora.im>
15:55:25
We have just five minutes left!
<@jonatoni:fedora.im>
15:55:27
All good for now
<@jflory7:fedora.im>
15:56:44
!info We will revisit this topic in a future meeting, to focus on event structure and event theme.
<@jflory7:fedora.im>
15:56:47
!topic Open floor
<@jflory7:fedora.im>
15:57:00
There were other tickets, and MatH wanted to think bigger in generally.
<@jflory7:fedora.im>
15:57:07
But three minutes is hard to do either of these things π
<@theprogram:fedora.im>
15:57:14
Bigger than 5 mins though
<@jflory7:fedora.im>
15:57:16
I wanted to look back at this one: https://forge.fedoraproject.org/dei/tickets/issues/64
<@jflory7:fedora.im>
15:57:33
We can chat async in #dei:fedoraproject.org after the meeting.
<@jflory7:fedora.im>
15:57:45
Maybe what we can use this time for is coordination for next time.
<@jflory7:fedora.im>
15:57:53
So, post-meeting protocol usually shows three key tasks:
<@jflory7:fedora.im>
15:57:59
1. Post a summary on Fedora Discussion
<@theprogram:fedora.im>
15:58:05
The subject has moved on a bit since the ticket, with some big wins for open source, at least in California
<@jflory7:fedora.im>
15:58:09
2. Post updates on all tickets discussed, with a link to the summary
<@jflory7:fedora.im>
15:58:13
3. Plan the next meeting chair
<@jflory7:fedora.im>
15:58:19
I can do #2
<@jflory7:fedora.im>
15:58:30
Could anyone help out with the Fedora Discussion meeting summary?
<@jflory7:fedora.im>
15:58:37
And does anyone want to chair for next time in two weeks?
<@jflory7:fedora.im>
15:58:55
Ideally, a chair also prepares an agenda, which is not what I was able to do this time π
<@jflory7:fedora.im>
15:59:02
(but it is sort of a trend for me too, I suppose)
<@theprogram:fedora.im>
15:59:19
Sorry it is a bit late for me to do the discussion post, but maybe I can chair next time now I am a member
<@jflory7:fedora.im>
16:00:09
Jona Azizaj (she/her): Think you could tackle the Fedora Discussion post summary? You might even just be able to copy the Bot AurΓ©lien summary, make edits and tweaks, and post that
<@jflory7:fedora.im>
16:00:20
Awesome!
<@jflory7:fedora.im>
16:00:30
!idea @theprogram may chair the next DEI Team meeting π
<@jflory7:fedora.im>
16:00:51
!halp Need to find someone to do the Fedora Discussion summary post, will discuss async in #dei:fedoraproject.org after the meeting
<@jflory7:fedora.im>
16:00:56
With that folks, we need to yield the room.
<@jflory7:fedora.im>
16:01:00
Thanks for your time and attention today!
<@jflory7:fedora.im>
16:01:04
It was a nice quorum.
<@jflory7:fedora.im>
16:01:18
Jocelyn Gould (UTC-4): Would love to hear more about what you are interested in over in #dei:fedoraproject.org
<@jflory7:fedora.im>
16:01:21
See ya folks!
